Position Summary: The Sr. Administrative Assistant is responsible for performing regular and daily activities for the Executive leaders and assigned teams, so handling conflicting priorities and meeting deadlines is a must. The ideal candidate will be highly organized, detail-oriented, and able to handle a wide range of administrative tasks with professionalism and discretion.

Duties and Responsibilities:

  • Communication: Respond effectively and professionally on behalf of Executive team via phone, emails, etc.
  • Executive Support: Provide comprehensive administrative support to executives, including managing calendars, proactively handle conflicts, scheduling meetings, coordinating travel arrangements, and preparing expense reports.
  • Office Management: Process requisitions for services and materials as needed for the functional operations. Verify, audit, and forward vendor invoices to appropriate department for payment. Maintain department records and files as required.
  • Meeting Coordination: Establish or assist with the planning, coordination, and execution of meetings, maintaining timelines and manage LT activities to ensure deadlines are met. Coordinate the scheduling of department meetings, including large-scale off -site team/customer meetings.
  • Team Support: Collaborate with other administrative staff to ensure smooth workflow and provide backup support as needed. Assist as needed for team support in matters pertaining to travel and expenses.
  • Backup to Executive Administrative Assistant: Who supports the CEO and Board of Directors
  • Proactive Problem Solver: Ability to look ahead, see a challenge and take steps to remediate it in advance
  • Other duties as assigned.

 

 

Basic Qualifications:

  • High school diploma or GED equivalent.
  • Minimum of 5 years working experience as an administrative assistant or similar role, with progressively increasing responsibilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
  • Proficient in SAP

  • Ability to work effectively as a member of a team or independently.
  • Must be a good communicator with ability to follow-up and drive tasks to completion.

  • Ability to maintain confidential information.
